Booking and Cancellation Terms and Conditions

Unfortunately, it has become necessary for us to make some changes to the way we do business. The world has changed post Covid, and businesses we outsource to (such as accommodation, meals, and activity providers) now require us to confirm our attending numbers at least 14 days out for a trip involving a meal, and at least 60 days out for a tour involving accommodation (some are even longer). It has become significantly harder to get refunds when people cancel close to trip/tour dates. We have always been able to be pretty lenient and have worked with people to find a work around.

Day Trips

Cancellation within 7 days of the date of a day trip

If you cancel a booked day trip within 10 days of the trip, the cancellation fee will be 50% of the day trip cost. An invoice will be issued if you have not already paid, and this will be due for payment within 7 days.

Cancellation within 48 hours of a day trip

Any cancellation within 4 business days of a day trip, the cancellation fee will be 100% of the trip cost. An invoice will be issued if you have not already paid, and this will be due for payment within 7 days. While this is a standard policy, in some instances, we may be able to on-sell your ticket or gain you a partial refund. As always, we will work with you to gain the best possible outcome.

Shows and Events – Tickets and Transport

All show and event tickets are non-refundable. If you cannot attend a show/event you have booked, please let us know as soon as possible as we may be able to assist you to find someone else to take your place. In the event you cannot find a replacement, the customer will remain liable for all costs incurred for the bus and show tickets, including any booking fees.

Beckley Coachlines and Travel will make all reasonable efforts to ensure timely arrival at scheduled shows, events, and activities. However, the company accepts no responsibility or liability for delays caused by circumstances beyond its control, including but not limited to road accidents, traffic congestion, weather conditions, road closures, mechanical issues, or other unforeseen disruptions. No refunds, credits, or compensation will be provided if a passenger misses a show, event, or connection as a result of such delays.

Coach Charters

All estimates are valid for a maximum of 14 days from date of issue. Due to the volatility of fuel prices, we cannot guarantee quoted prices will be held beyond the date stated.

General Charter Terms and Conditions:

1.      Upon written acceptance of this quote, a non-refundable deposit of 20% is required to CONFIRM the booking. Your booking is NOT confirmed until this payment is received.

2. Once the invoice for the remaining balance is issued, payment must be received by the date indicated.

3. Should there be any change to the above itinerary, Beckley Coachlines and Travel reserves the right to issue an additional invoice to reflect the difference.

4. If your booking is unable to go ahead for reasons such as weather or insufficient numbers etc., we will work with you to find a mutually suitable date to move the booking to, and your deposit can be transferred for no extra cost (terms and conditions apply).

5. If your group chooses to cancel your Charter booking, the following cancellation terms shall apply:

 30% of the total booking amount if you cancel for any reason.

50% of the total booking amount if cancelled within 7 days of your booking (business days only) but not less than 96 business hours.

80% of the total booking amount if cancelled with less than 96 hours’ notice (business days) of your booking, but not less than 48 hours.

100% of the total booking amount if cancelled with less than 48 hours’ notice (business days) of your booking.

 6. A minimum charge of $200 may also be added to the final price if extra cleaning is required due to the condition of the coach on return.

7. Overtime charges may be levied (from the scheduled times) at the following rate of $40 plus GST per 15 mins ($160 plus GST per hour).

8. Under Section 38 of the Summary Offences Act 1981, it is an offence to consume alcohol while onboard a Beckley Coachlines and Travel vehicle.

9. Under the Smoke Free Environments Act (1990), all bus services are required to be smoke-free, including on-board toilets. Smoking of any kind, including e-cigarettes or vapes, is prohibited onboard any Beckley Coachlines and Travel vehicle.

10. To meet our Tourism Association Sustainability Commitment, all groups travelling with Beckley Coachlines and Travel are required to remove ALL waste and rubbish at the end of the trip.

-Failure to remove all rubbish will result in a minimum fee of $80 + GST being charged to the group.

Acceptance of a quote is deemed acceptance of these terms and conditions.

Tours

NOTE: Some tours will have different, more specific details regarding cancellations as we are bound by the terms and conditions of the providers we are using. This info will be provided upon booking and can be found in the tour itinerary that you will be sent.

If there are no specific conditions, then the following shall apply to all tours:

Cancellation any time following confirmation of your tour booking

Beckley Coachlines and Travel make NO guarantees refunds will be granted, however we will advocate on your behalf to achieve the best possible financial outcome, such as on-selling your booking, applying for a refund or reduction of fees from outside/third-party providers. You will however remain liable for any remaining expenses, which will be clearly communicated to you at the time.

Tour Cancellation Fees:

Cancellation fees depend on when Beckley Coachlines and Travel receive written notification of your cancellation:

 >Bookings cancelled more than 60 days before departure incur a fee of 25% of tour cost.

>Bookings cancelled between 59 days, and 45 days incur a fee of 50% of tour cost.

>Bookings cancelled between 44 days, and 31 days incur a fee of 80% of tour cost.

>Bookings cancelled within 30 days or less of tour departure incur a fee of 100% of tour cost.

 The above fees are in addition to your deposit, as well as any cancellation fees applied by third-party providers that are subject to cancellation terms.

 No refunds will be made after travel has commenced.

Your deposit is valid for the dates originally booked and are not transferable to other tours.

Tour Cancellations

Beckley Coachlines and Travel reserve the right to cancel or withdraw any tour or any booking made for any traveller. In this event we will refund monies paid, minus any admin fee. Beckley Coachlines will not have any further liability to the traveller.

Acceptance of Terms and Conditions

Your itinerary could change due to road or weather conditions, changes imposed by other suppliers or a range of factors outside of our control. You agree Beckley Coachlines and Travel have no liability to you for these changes.

Prices

Prices are correct at the time of printing; however, Beckley Coachlines and Travel reserve the right to amend the final tour costs should there be changes imposed by outside parties.

Deposit

A non-refundable deposit is required to confirm all tour bookings. Deposit amounts vary and each tour itinerary will specify the deposit required.

Payments

Full payment is required by the date specified in each itinerary but is generally expected by at least 45 days prior to a tour date. Payments can be made by Eftpos, Credit Card, Cash or Direct Credit.

Liability

Beckley Coachlines and Travel are not liable for and deny all responsibility for personal injury or property damage arising out of these activities.

Outside providers, namely the carriers providing any land, sea, or air travel, and the operators providing transfers, accommodation, tours, meals, and any other services, all do so according to their own terms and conditions. By making a booking you accept the arrangements subject to those terms and conditions and accept that your rights may be limited to those terms and conditions as found in tickets, vouchers, signs, forms, contracts and the like. You accept you have no right to claim against Beckley Coachlines and Travel for any loss, damage, delay, or injury caused to you or your luggage, whilst under the care or control of an outside provide. Your luggage and personal effects shall be carried at your own risk as provided for under the Carriage of Goods Act.

Beckley Coachlines and Travel is not responsible for any losses or additional expenses due to delays or alterations in air, land, or sea travel due to inclement weather, acts of God, strikes, breakdowns, civil unrest, quarantine, or any other circumstances beyond our control.

Traveller Health Information Form

All personal information shared with Beckley Coachlines and Travel is kept confidential. The purpose of the ‘Traveller Health Information Form’ is to provide emergency services or health professionals relevant information should you become unwell and are unable to pass on information yourself (such as if you have a stroke or are unconscious). We may also use the given information to communicate with your emergency contact, if needed. Signing the form gives Beckley Coachlines and Travel permission to share relevant information, if required with health professionals and emergency staff, as well as your emergency contact.

Seat Rotation Policy

Our tours use a daily seating rotation. For the enjoyment and experience of all passengers, there is a daily seat rotation in which ALL passengers, by booking a tour, agree to accept and participate. This allows everyone to experience the spectacular views from front and window seats (although our large panoramic windows allow for a great view from every seat). The seating rotation also provides a better opportunity to get to know your fellow passengers.

If you have booked as a pair, you are welcome to move together. At the end of each day passengers are required to remove any of their belongings from the backs of seats and where they have been sitting (items can be left up in the parcel trays to then be moved to the new seat the following day).

Passengers who suffer motion sickness are advised to take necessary precautions as the seat rotation policy prevents any seats from being reserved. We also recommend choosing a seat near the centre of the bus where there is less movement.

While it is intended that passengers can decide and coordinate daily rotation while on tour, Beckley Coachlines and Travel reserve the right for final decision on passenger seating arrangements, should they deem this necessary for any reason.

Should a passenger become unwell while on tour, it may be necessary for other passengers to be moved to alternative seating to allow the unwell person to be seated close to staff for observation. Beckley Coachlines and Travel staff will communicate directly with affected passengers, and aim for minimal disruption, but we do request your full co-operation and understanding should such circumstances occur.

Image Use/Privacy

The passenger acknowledges and gives consent for Beckley Coachlines and Travel, to take photographs, audio or video recordings, or other forms of recordings that capture the passenger’s image, likeness, voice, performance, or all of these (“Images”)during the course of this activity/tour.

Beckley Coachlines and Travel may use images for marketing and promoting its services. The ways in which the Images will be used for marketing purposes include, but are not limited to, incorporating the Images in print, broadcast, internet media, direct marketing channels, downloadable content and applications, and all other media, platform or technology now known or to be developed for distribution around the world. The Images may be altered, modified, changed, combined or incorporated into other works.

The passenger has a right to request access to Images containing themselves, and to correction of those Images to ensure they are complete and not misleading. However, the passenger acknowledges that if the Images have been incorporated into marketing materials, it may not be reasonably practicable for Beckley Coachlines and Travel to make any changes. The passenger authorises Beckley Coachlines and Travel to refuse the request to correction in such circumstances.

Health and Safety

Our travellers should be in good health and able to walk moderate distances to fully participate and experience the sight-seeing opportunities within the itinerary. All travellers are required to acknowledge that they are of reasonable health and are considered to be fit to travel and are not travelling contrary to any medical advice.

Beckley Coachlines and Travel reserve the right to engage a medical professional in the event of a traveller becoming unwell while on tour.

You agree that Beckley Coachlines and Travel have no liability for costs, loss, or other effects incurred should you become unwell while on tour. Should a medical professional deem you unable to continue with the tour, for any reason, we will work with you to ensure a safe return home as soon as possible.

Any additional costs such as (but not limited to) medical, accommodation, meals or transport will be solely the responsibility of the client, not Beckley Coachlines and Travel.

Covid-19 or other Communicable Diseases

Beckley Coachlines and Travel is bound by NZ law to adhere to all conditions and/or restrictions placed upon us with regard to Communicable Diseases. All travellers will be informed about any changes made by the NZ Government to current conditions prior to or during each tour. Our passengers’ safety, and that of our staff remains our top priority. Currently there is no requirement to be vaccinated to travel in NZ.

Insurance

Beckley Coachlines and Travel strongly recommend you purchase travel insurance. There are several options available, from Cover-More, Southern Cross and 1Cover. Please contact us if you require any assistance with this.

Force Majeure

Any event outside our reasonable control including (but not limited to) acts of God, epidemic, disruption to an emergency service, declared or undeclared war, fire, flood, storm, slide, earthquake, hurricanes, cyclones, riot, lock down, power failure, industrial action, defaults of manufacturers and suppliers, the inability to obtain and/or source services required to provide the Services and/or Trip (including without limitation equipment, accommodation or facilities)that are not caused by a failure to pay, labour disputes, theft, any criminal act or other similar events beyond our reasonable control that may prevent or delay our supply of the Services to you is considered to be “Force Majeure”.

We may change any itinerary of a Trip including cutting it short if such change is required or desirable in our reasonable opinion in order to keep you safe from harm, and in that case any such change will also be deemed to be a Force Majeure event.

If we cancel a Trip as a result of a Force Majeure Event:

(a) on or before the due date for final balance payment for the price of the trip, then any deposit paid by you will be refunded in full minus any non-recoverable third party costs;

(b) after the due date for payment of the final balance for the price of the trip, but before the date of commencement of the trip then, we will provide a travel credit to the value of the price (paid by you and received by us to the date of cancellation) less any third-party costs incurred by us and the Administration Fee. All travel credits issued to you under this clause will be valid for 24 months from date of issue, after which date they will expire and cannot be used;

(c) after the date of commencement of the Trip then you are not entitled to any refund of the Price (including the Deposit), however we may at our sole and absolute discretion offer alternative arrangements to the same value and/or experience where possible.

Other than a refund or travel credit payable (if any), Beckley Coachlines and Travel shall not be liable for any claims resulting from any delay or failure in the performance of any obligation or the exercise of any right as a result of a Force Majeure event.
